Get family and friends together to manage tasks at home or plan a surprise birthday party. Work with teammates via secure meetings, document collaboration, and built-in cloud storage. You can do it all in Microsoft Teams.
Set up a video meeting within seconds and invite anyone by sharing a link or calendar invite. Assign tasks, set due dates, and cross off completed tasks to keep everyone on the same page. So I got introduced to Microsoft Teams when my school explained that they were going to use it as their mode of classes during the pandemic.
Before this I never knew that there was an application like this. School or Work account When I started using Teams, everything was crystal clear and I could easily access documents or links uploaded anywhere. The in built features like activity, calendar, files and tasks helped me organize all my work and kept it easy to stay on top. But I think you could fix an issue in where assignments is not loading if I go to it directly making it cumbersome to go though each team and check the assignments.
Personal account I have only used this feature recently and it was just great. All you need is an email account to sign in. It was really smooth and I accessed any material in my groups instantly. We could create as many groups as we want without confusion and schedule meetings and call others anytime from around the world. I personally liked this app as it was par to many leading chat apps like WhatsApp, telegram etc.
At work they have transitioned from an email service to Teams. The chat function is fine except you cannot delete chats, you can only hide and mute them.
So every chat group I have ever been in is still there just muted and hidden. There is no way to clear chats or teams. The same goes for activity. I have thousands of notifications in the activity tab that cannot be deleted. It makes the app feel very cluttered all the time. WhatsApp is way better in my opinion for chatting but of course the company wants better privacy than WhatsApp so now all our communication must go through Teams. So when we need to schedule a team call, I have to exit teams, check outlook calendars and then go back to teams.
Anyway, there are some good things about teams but it could be so much better if they made some functionality improvements. Ok, so I broke down and downloaded the app to my iPhone sometime during the summer of because I supervise a lot of people and babysit the rest of the office so I was constantly being hounded by every method possible texts, calls to my cell and desk, emails, and Teams.
People appreciate that more gentle approach. So yeah. The following data may be collected and linked to your identity:. Privacy practices may vary, for example, based on the features you use or your age. Learn More. App Store Preview.

Now you can do the same thing in Microsoft Teams. The back and forward buttons in the top left corner bring you to the recent locations you have visited within Teams. This makes life easier. Select from these recent sites, or click the arrows to move back and forth between visited Teams and Channels.
Within chats, you can mark messages as urgent, alerting the user every two minutes until they look at your message. But seriously, with so much content and so many conversations throughout the day, sometimes you need a digital flamethrower to cut through the noise. Then hit send, and your message will appear with a red header and desktop alert.
No matter how much we may attempt to pull all relevant content into a single location, the reality is our content and artifacts are spread across multiple locations.
Teams provides a native capability to link to cloud storage, whether they be non-Teamified SharePoint sites, OneDrive accounts, or other non-Microsoft storage locations. Sometimes it makes sense to leave content in its original location, but you still want quick access to everything related to your Team or Channel. Another hidden feature in Microsoft Teams that can improve your productivity is using slash commands and keyboard shortcuts.
Not everyone is a fan of keyboard shortcuts, but for oft repeated actions, these shortcuts can save a lot of time and extra mouse clicks. These include quickly changing your status, making a video call or starting a chat.
To see the menu of keyboard shortcut, simply click Ctrl and. While the search experience within Teams is still a work in progress, many people are unaware of the progress already made, including refiners and sort options. We need help sorting through the complexity of messages, conversations, files and people profiles.
No matter how much we tag, sort, and organize, we still rely on search — and Teams provides some excellent sorting features. To start your search, type in your search term in the command bar at the top of Teams.
Users often look for a way to flag messages in Teams. Other than saving a message, there is not currently a way to flag a message. Most information workers are task-minded and list-driven. Work conversations may, logically, generate work activities. This will show that you have an unread message in the left rail and the message will be turned to bold type for easy identification. Like what you are hearing in a Teams meeting?
Or do you love it? Was it funny? Reactions are a great way to be engaged without interrupting, and helps the speaker and fellow meeting participants know that your screen has not become frozen. Click on the appropriate icon, and others in the meeting will see the emoticon on your picture.
The immersive reader is great feature available across many Office apps, such as Word and PowerPoint. With it you can hear posts, chat messages, and assignments read aloud.
It also includes grammar tools such as Parts of Speech and Picture Dictionary. When creating a new Team, sometimes you want to build from scratch — and sometimes you want to rinse and repeat from other successful Team structures. This is especially useful when creating similar product or product-focused Teams where you want your sites to be consistently designed. When creating a new Team, simply follow the dialog boxes to create your new Team from an existing Team or Office Group.
The Team structure is copied including channels, and tabs are created but not connected. Files and chats do not come over. This is a lightweight experience using a few templates to help you quickly get started building workflows right within Teams. To streamline many of your common tasks. Install the Power Automate app and pin it to your left nav. A live transcript is not only a feature that makes your meeting more accessible, but it also helps those who are late or missed the meeting to get up to speed quickly. Transcripts make your Teams Meetings instantly searchable — while the meeting is happening, and once the meeting is over.
This feature is available within the desktop version. We should. For chats, select the pencil next to the member names at the top and type in a title that relates to the content of the chat and includes a word or phrase that will help you find it again.
In general, get into the habit of using tags which can act as DLs , hashtags and mentions whenever possible. By default, all Teams Meetings should be recorded and transcribed, with appropriate compliance and security measures to ensure that these important information assets are treated as any other intellectual property. The same can be said about chats. Engaged employees are happy employees. Allowing people to ask questions and get documented responses is an important part of a transparent organization.
The more people are included in the process, the more likely they will support the results of that process. Currently in public preview, Admins can make the app available for employees to add to their Teams. A Message Center sync allows your team to more readily review and triage announcements as they appear, more quickly identifying and mitigating changes that will impact your employees. The Teams Admin needs to enable the sync and point the updates to a new or existing Planner plan.
There are a few basic options for how the updates will be organized. The Microsoft Adoption site is constantly being updated with documentation, templates, and general guidance on all-things Teams. This lets the team work directly with tools and data, and have conversations about the tools and data, all within the context of the channel or chat. When using Microsoft Teams, you can drag and drop Teams into any order, pin important channels you can also drag and drop them , and hide teams to clean up your navigation view.
If you are creating or being added to dozens of Teams, the navigation can quickly become crowded. To change the order of Teams, simply drag and drop into your preferred order. Using a third-party migration tool like AvePoint Fly can help you reorganize your Teams information architecture to maximize productivity.
The way that you use Microsoft Teams may have drastically changed. Or your naming conventions might simply be a mess. Communicate with your Team owners to fully understand how each is used and its importance. Use a third-party tool that will preserve as much Teams data fidelity as possible to pilot and then execute your migration.
Users can set the duration of their status rather than rely on the default settings. The defaults of 5 minutes may not be your preferred duration before Teams automatically changes you from Busy to Away.
These include Shifts, a schedule management app to manage worker shifts, and Kaizala, which provides a simple messaging app akin to WhatsApp, though with enterprise security features. This has been particularly true during the pandemic as businesses rushed to facilitate virtual meetings between staffers working remotely. Microsoft added more such scenes and custom layouts in September. To help reduce distractions, real-time noise suppression has been added. It uses deep-learning algorithms to filter out unwanted background noise and retain only the speech signal.

Luckily, the admin side of Teams allows this to be managed as we’ll cover below. Once your organisation has access to Teams, you can: download the desktop application, access Teams through your browser or download the mobile app. To start your teamwork collaboration, you need a team. Setting up Teams is easy and done in a few clicks, requiring a Team name and a description; this then allows team members to be added.
As mentioned above, a new Team will create a matching Office Group, OneNote, SharePoint site and Plan—so this does need to be done with some caution. Each Team has subsections, which are called Channels, and a General Channel will automatically be created. Each Channel all have their own tabs along the top. Conversation group chat , Files shared documents and Notes shared OneNote are automatically created and you can then add your own tabs. A dialog box will open allowing you to create a name a tag, and add members. You can develop a template that helps you create the right collaboration space quickly. Your custom team template uses your preferred settings. As an admin, you may want to ensure that all Teams include standard channels, tabs and apps so that collaboration is consistent. Team templates are great but they also have limitations. Using a Teams template wont transfer content or membership. In addition, any type of policy ie Team owners cannot create a SharePoint sub-site cannot be included in a Team template.
